From AI Pilot to Production: Why AI Agents Need to Be Managed
Most AI pilots stall after the demo. Our new white paper explains how agentic AI agents that do real work for your people, in Finance, HR, IT, Procurement, Sales and Recruiting, are built, run and governed as a managed service.

AI Agents Managed Services
Most leaders I talk with have seen an impressive AI demo. Far fewer have an AI agent that posts invoices, onboards new hires or clears service tickets every day, inside their own systems, with an approval trail their auditors accept. The gap is not the technology. It is ownership, integration and governance.
This article summarizes our new white paper, *From AI Pilot to Production: Why AI Agents Need to Be Managed*. Download the full white paper (PDF, 22 pages) for the department-by-department playbook, governance controls, buying guidance and a 90-day plan.
Agents are arriving fast, and many projects will not survive
- 40% of enterprise applications are expected to include task-specific AI agents by the end of 2026, up from under 5% in 2025 (Gartner).
- More than 40% of agentic AI projects are expected to be canceled by the end of 2027 over cost, unclear value or weak controls (Gartner).
- 30% of employees say AI agents are already part of their workplace processes, up from 13% a year earlier (BCG).
Adoption is coming. Production success is not guaranteed.
Why most AI pilots stop after the demo
Pilots fail because of how they are organized, not because the models fail. Three gaps stand between a pilot and agents doing daily work:
1. Ownership. Pilots are funded as one-time projects and handed to no one. Knowledge goes stale and usage fades. 2. Integration. An agent that cannot act inside the ERP, help desk or records system can only give advice, so people still re-key every result. 3. Governance. Legal, records and security teams need approval steps, audit logs and data-residency answers before they can say yes.
From answers to finished work
A chatbot produces an answer. An agentic AI agent produces finished work: it takes a goal, gathers what it needs, plans the steps and carries them out inside your systems, then routes the decisions that matter to a person. Every step is logged.
Where agents do the work
Every department has high-volume, rule-bound work spread across systems:
- Finance: reading invoices, matching POs and receipts, drafting AP entries, reconciliations and accruals.
- HR: onboarding packets, record creation, policy and benefits questions.
- IT: ticket triage, password resets, access requests and knowledge articles.
- Procurement: requisition checks, quote comparisons, vendor onboarding and renewals.
- Sales: CRM updates, RFP compliance matrices and proposal drafts from approved content.
- Recruiting: resume screening, interview scheduling and offer letters.
In an illustrative accounts-payable workflow, an agent can take seven staff touchpoints per invoice down to one: the approval.
Governed from the first design session
Every Cendien agent is built with eight controls: human-in-the-loop approvals, role-based access, full logging, grounded work, guardrails, data-residency review, live handoff to a person, and documentation. Our AI practice is aligned with the NIST AI Risk Management Framework, and agent logs are designed to be retained and produced under records schedules and public-information requests.
One accountable team, from first idea to daily operation
With Cendien AI Agents Managed Services, one team designs, builds, launches, runs and improves your agents, for a predictable monthly fee priced by the number of agents. Each month you get monitoring and support, tuning, new skills and a service report, plus quarterly business reviews and an annual AI governance health check.
A 90-day path to your first agents
1. Days 1–30: Discover. Map repetitive workflows by department, complete a readiness assessment and agree guardrails and approvers. 2. Days 31–60: Build and test. Connect to your ERP, HCM or help desk and test with staff on real examples. 3. Days 61–90: Launch and run. Go live with a pilot group while Cendien monitors and tunes daily, then plan agents two and three.
